Subject: Concerns with Frontline Customer Service

I am disappointed to report two instances of poor customer service from a staff member at your front desk. On both occasions, I’ve encountered the same young woman seated at the far-left desk upon entering the reception area from the driveway. Unfortunately, her approach has consistently been unprofessional and unwelcoming.

During my most recent visit, she failed to acknowledge me when I entered. Without a glance or greeting, she remained focused on her computer, projecting an air of unnecessary self-importance. As someone who has worked in a front line, customer service role for over 20 years at Qantas Airways, I understand that effective communication begins with simply acknowledging a customer. This did not happen as I stood waiting for approximately five minutes before asking, “Excuse me, I’m wondering if I’m in the right place…”—only to be cut off mid-sentence with a curt, “I’ll be with you soon,” still without eye contact.

When I returned to collect my vehicle, the experience was equally disappointing. I waited over 10 minutes before anyone addressed me, and the only interaction was a casual, “Won’t be long…” Again, there was no proactive communication or basic courtesy.

This pattern is not new. I previously visited for a recall issue and was met with the same passive-aggressive demeanor and dismissive attitude. This individual would benefit greatly from customer service coaching, particularly in the areas of acknowledgment, tone, and professionalism.

I hope this feedback helps improve your frontline customer experience. Clear, courteous communication makes all the difference.
